Terms & Conditions

Please read these terms carefully before booking with Tranceholidays.

1. Definitions

"Company", "We", "Us", or "Our" means Tranceholidays, registered in India.

"Client", "You", or "Your" means the person who makes a booking with us and any person on whose behalf the booking is made.

"Services" means any travel arrangements, tour packages, hotel reservations, transportation, or related travel services organised by us.

"Booking Confirmation" means the written confirmation issued by us after receipt of the required deposit.

2. Booking & Confirmation

A booking is confirmed only when we receive the required deposit and issue a written Booking Confirmation. Until that point, no contract exists between us.

The lead traveller (the person making the booking) must be at least 18 years old and accepts these terms on behalf of all travellers in the group.

It is the responsibility of all travellers to ensure that the name on their passport exactly matches the name on their booking. We will not be liable for costs arising from name discrepancies.

3. Pricing & Payment

All prices quoted are in USD unless stated otherwise and are subject to change until a Booking Confirmation is issued.

A deposit of 25% of the total tour price is required to confirm a booking. The remaining balance is due no later than 45 days before the departure date.

For bookings made within 45 days of departure, full payment is required at the time of booking.

Prices include accommodation as specified, transport as specified, meals as specified, guide services as specified, and monument entry fees where listed.

Prices exclude international/domestic airfare (unless specified), visa fees, travel insurance, personal expenses, tips and gratuities, any meals not listed in the itinerary, and items of a personal nature.

4. Cancellation Policy

Cancellations must be notified to us in writing at [email protected]. The following cancellation charges apply:

We strongly recommend purchasing comprehensive travel insurance that covers cancellation charges.

5. Changes by the Client

Requests for changes to a confirmed booking (dates, accommodation, itinerary) must be made in writing. We will endeavour to accommodate changes but cannot guarantee them. An administration fee of USD 50 per change may apply.

Changes made within 30 days of departure are treated as a cancellation and re-booking and the cancellation policy applies.

6. Changes or Cancellation by Us

We reserve the right to change or cancel bookings in circumstances beyond our reasonable control including natural disasters, political instability, government restrictions, pandemics, or where minimum group numbers are not met.

If we cancel your tour before departure (other than due to your fault), we will offer you: (a) an alternative tour of comparable or superior standard; or (b) a full refund of all monies paid.

We will not be liable for any additional costs you may incur (such as airfare penalties) in such circumstances. We recommend travel insurance that covers this eventuality.

7. Our Responsibilities

We act as an organiser and accept responsibility for the proper performance of the travel arrangements that form part of your confirmed booking.

We will not be liable for (a) any failure or improper performance attributable to the client; (b) failure due to a third party unconnected with the services; (c) unusual and unforeseeable circumstances beyond our reasonable control; or (d) events we could not have anticipated even with due care.

Our liability to you is limited to a maximum of twice the price paid by the affected traveller per booking.

8. Travel Documents & Visas

It is your sole responsibility to ensure that you hold a valid passport (with at least 6 months validity beyond your return date) and all required visas, permits, and vaccinations for your destination.

We can provide general information about visa requirements but this does not constitute advice. Requirements can change and you must verify current requirements with the relevant embassy or consulate.

We will not be liable for any costs, losses, or damage arising from your failure to obtain the necessary travel documents.

9. Health & Special Requirements

You must inform us in writing of any medical conditions, dietary requirements, mobility restrictions, or other special needs at the time of booking. We will endeavour to accommodate these but cannot guarantee it for all services.

Some itineraries involve high-altitude destinations (e.g., Ladakh, Spiti). You must consult your physician before undertaking such tours. We will not be liable for health issues arising from high altitude.

10. Travel Insurance

We strongly recommend that all travellers take out comprehensive travel insurance before departure. Your insurance should cover personal accident, medical expenses, emergency repatriation, trip cancellation, and loss of or damage to baggage.

We may request evidence of your insurance cover before departure. Travelling without insurance is at your own risk.

11. Conduct & Behaviour

You are expected to conduct yourself in a manner that respects local customs, cultures, and religious practices. Any traveller whose behaviour is disruptive, illegal, or causes distress to others may be asked to leave the tour immediately without refund.

You are responsible for any damage caused by you to accommodation, vehicles, or other property during the tour.

12. Photography & Privacy

We may photograph or film tours for promotional purposes. By booking, you consent to your likeness being used in such materials unless you notify us in writing otherwise.

Please respect local customs regarding photography. Some religious sites and communities do not permit photography.

13. Complaints

If you have a complaint during your tour, you must inform your tour guide or our local representative immediately so we have the opportunity to rectify the issue.

Written complaints must be submitted to [email protected] within 28 days of returning from your tour. We will acknowledge within 7 days and respond fully within 28 days.

14. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of India. Any disputes will be subject to the exclusive jurisdiction of the courts of New Delhi, India.
